The invoice problem
Accounts payable teams receive invoices as PDFs, email attachments, scans and photographs, in dozens of supplier layouts, several currencies and often more than one language. Each has to be matched to a purchase order and a goods receipt, checked for tax treatment, coded and posted before payment terms lapse.
What automation does to the flow
A typical automated flow:
- Ingest from the AP mailbox, portal upload or scanner
- Classify invoice, credit note, statement or remittance advice
- Extract header fields, tax lines and full line items
- Normalise supplier identity against the vendor master
- Three-way match against purchase order and goods receipt
- Validate arithmetic, tax rate and duplicate invoice number
- Post clean invoices straight through; route exceptions with the reason attached
Where exceptions really come from
In practice, extraction rarely causes most exceptions. Missing purchase orders, partial deliveries, unit-of-measure mismatches and unregistered suppliers cause more. Designing the exception queue around those causes — rather than around low-confidence fields alone — is what moves the straight-through rate.
Measuring it
Track touchless rate, average handling time for exceptions, duplicate prevention, and days from receipt to posting. Report accuracy at the field level for the fields that actually block posting, not as a single headline percentage.
